The Operations Executive will provide enterprise-level oversight of multiple clinical service lines, cross-functional business programs, and key vendor relationships. This role is responsible for driving operational excellence, ensuring clinical quality and compliance, supporting workforce development, and implementing strategic initiatives across the organization. The ideal candidate is a systems thinker, an experienced operator, and a collaborative leader with a proven track record in healthcare operations.
Reporting to this Position: Medication and Interventional Radiology Manager, Physical Therapy and Occupational Therapy Manager, Clinical Informatics Manager, Scribe Lead, Imaging, and various Vendor Services.Qualifications
- Bachelor’s degree in Business, Healthcare Administration, Operations Management, or related field; Master’s preferred.
- 7–10+ years of progressive leadership in healthcare operations, ideally within a multi-site physician practice or specialty group.
- Proven experience managing multiple service lines and large cross-functional teams.
- Expertise in inventory management, supply chain, vendor relations, and compliance.
- Demonstrated ability to lead change, solve complex problems, and drive measurable results.
- Strong interpersonal, communication, and executive presence.
- Proficiency with EMR systems and healthcare technology platforms.
Essential Job Duties
Clinical Program Oversight
- Medication Management & IOD Pharmacy: Provide strategic oversight and executive leadership to the medication management and in-office dispensing (IOD) pharmacy programs. Partner with the Medication Manager to ensure regulatory compliance, inventory accuracy, patient safety, and strong financial performance. Champion initiatives that drive patient utilization of Urology Austin’s IOD services.
- Interventional Radiology (IR): Oversee the growth and operational performance of the IR program in collaboration with the IR Manager and Prostate Centers of America. Focus on optimizing resource utilization, staffing models, patient flow, and strategic vendor integration.
- Pelvic Floor Therapy: Guide the strategic development and expansion of the program, ensuring high-quality care, clinical consistency, and alignment with organizational goals.
- Imaging Services: Provide executive oversight of diagnostic imaging services (PET/CT, CT, ultrasound), including planning for equipment, staffing, accreditation, and patient scheduling in partnership with program leads.
- Chronic Care Management (CCM): Lead strategic direction and effectiveness of the CCM program in collaboration with Cosan and the Urology Austin Navigation team. Focus on patient engagement, billing optimization, and care coordination workflows.
- Medical Scribe & Catheter Programs: Oversee the effectiveness of medical scribe support and in-house catheter supply programs, ensuring clinical efficiency, patient safety, and operational consistency across sites.
- Vendor Relationship Management: Develop and maintain a comprehensive vendor management system across all clinical and non-clinical areas. Set performance expectations, conduct regular reviews, and ensure alignment with organizational policies and quality standards.
- Clinical Supply Inventory Management: Design and implement a standardized inventory management structure to optimize supply levels, minimize waste, and ensure availability across all clinic locations.
- Strategic Business Partnerships: Manage external partnerships with diagnostic and equipment vendors to negotiate favorable terms, ensure timely service, and support clinical program needs.
- Clinical Informatics Oversight: Guide the Clinical Informatics program, focusing on data quality, workflow efficiency, EMR optimization, and technology adoption that supports clinical excellence.
- Cross-Functional Strategy Implementation: Partner with executive leadership, department heads, and physician stakeholders to design and implement scalable initiatives across the clinical departments/programs within purview.
- Compliance & Risk Management: Ensure operational adherence to federal and state regulations, including OSHA, HIPAA, and clinical accreditation standards. Partner with appropriate stakeholders to identify and mitigate risks.
- Workforce Oversight & Culture Leadership: Collaborate with HR to support workforce planning, staffing models, and leadership development across departments. Champion a culture of accountability, equity, engagement, and professional growth.
- Strategic Planning & Growth Support: Support service line expansion, new program development, and physical space planning aligned with strategic priorities.
- Communication & Executive Reporting: Provide regular operational updates and performance insights to the Market President and executive team.

What Success Looks Like in the First 90 Days
By 30 Days- Establish strong working relationships with direct reports, key department leads, and vendor partners through active listening, site visits, and 1:1 meetings.
- Gain full understanding of all clinical programs under your purview and begin assessing strengths, gaps, and opportunities.
- Review current operational KPIs, supply chain performance, vendor contracts, and compliance dashboards.
- Learn EMR workflows, inventory systems, and internal reporting tools in collaboration with the Clinical Informatics and Supply teams.
- Participate in executive and departmental leadership meetings to understand current initiatives, pain points, and expectations.
- Conduct an initial diagnostic review of all assigned programs with a summary report of current-state observations and priorities to the Market President.
- Begin leading operations meetings and providing clear direction to direct reports and vendor stakeholders.
- Identify and initiate process improvement opportunities in at least two core areas (e.g., medication workflow, inventory management, IR throughput).
- Draft standardized KPIs for clinical service lines to drive visibility and accountability across teams.
- Launch a vendor management review cycle and begin evaluating current vendors against performance, cost, and alignment with Urology Austin standards.
- Actively support HR and department leads in addressing any critical staffing issues and begin planning for long-term workforce development.
- Present a comprehensive 6-month operational improvement roadmap to the Market President, including quick wins, long-term goals, and resourcing needs.
- Demonstrate measurable improvements in one or more focus areas (e.g., inventory accuracy, IR scheduling, scribe deployment, vendor responsiveness).
- Establish regular reporting rhythm for operational dashboards and performance updates.
- Implement a standardized process for communicating with clinical managers and cross-functional teams.
- Begin contributing to strategic planning initiatives such as new clinic builds, technology upgrades, or service line expansions.
- Be viewed as a trusted operational leader, communicator, and change agent across the organization.
