The Assistant Site Manager is responsible for supporting the Site Manager in overseeing the daily administrative, operational, and clinical functions of assigned Urology Austin locations in the North Market. This role ensures efficient site operations, regulatory compliance, positive staff engagement, and high-quality patient care. The Assistant Site Manager plays a vital role in driving site-level excellence while upholding the mission and values of the organization

ESSENTIAL SKILLS AND EXPERIENCES

  • Minimum three years of medical practice, leadership or management experience
  • Minimum one year of clinical experience (MA, LVN, or RN); certification preferred
  • Bachelor’s degree in healthcare administration or related field preferred
  • Proven experience in practice operations, clinical staff oversight, and revenue cycle management Knowledge of OSHA, HIPAA, compliance standards, and risk management practices
  • Proficiency with Microsoft Office and Windows-based systems

ESSENTIAL JOB RESPONSIBILITIES

  • Oversee daily clinic operations across both front office and clinical workflows, ensuring smooth coordination of patient services, staffing, and documentation
  • Support the Site Manager in monitoring daily staffing levels, adjusting assignments based on clinic volume, and identifying workflow gaps
  • Ensure timely and accurate documentation, charge entry, and maintenance of medical records in alignment with billing and compliance standards
  • Assist with training and onboarding of new hires, float pool staff, and temporary personnel, ensuring consistency with clinic expectations and procedures
  • Act as the first point of contact for EMR-related issues, including workflow errors and provider template troubleshooting; escalate complex issues to IT or Clinical Informatics
  • Oversee supply inventory and ordering, ensuring clinical and administrative areas remain fully stocked and equipment is regularly checked for functionality
  • Conduct regular walkthroughs to ensure safety, cleanliness, and compliance with clinic policies, OSHA, HIPAA, and infection control standards
  • Assist in the resolution of patient complaints or service recovery concerns, documenting incidents and working with leadership for follow-up
  • Track provider schedules and appointment flow; proactively address bottlenecks in scheduling or patient wait times
  • Coordinate with IT for local technical support needs, including troubleshooting phones, hardware, printers, and other clinic technology
  • Report and track facility maintenance concerns and coordinate service with vendors as appropriate
  • Protect confidentiality and security of all patient, employee, and organizational data in accordance with legal and company policies
  • Perform other duties as assigned
